Feature
Message Taking
Sometimes the right outcome is simply a good message. Message taking captures who called, why, how urgently and what they want to happen next, then delivers it to the person who can act.
What a message contains
- Name, number and preferred contact method
- The reason for the call in the caller’s words
- Urgency as the caller described it
- Who the message is intended for
- When they are available to speak
Better Than Voicemail, Deliberately Simpler Than Booking
Voicemail fails in two directions. Callers dislike leaving them, so many hang up, and the ones who do leave a message often ramble past the useful information. Somebody then has to listen to all of it before anything can happen.
Message taking is a conversation instead. The system asks what it needs, confirms the number back, and produces a written message in a consistent format that can be scanned in five seconds.
It is the right outcome when a call genuinely needs a specific person and that person is unavailable. Where the request could be completed instead, the flow completes it rather than defaulting to a message.
What It Delivers
Numbers are correct
Contact details are repeated back and confirmed, which removes the most common cause of failed callbacks.
Messages are scannable
A consistent written format means your team can triage twenty messages in the time voicemail takes for five.
Urgency is visible
Messages are marked according to what the caller described, so the important ones are not buried.
Nothing is lost
Messages arrive in a shared system rather than on one person’s handset.
How a Message Is Handled
Completion attempted first
The flow checks whether the request can be resolved before offering to take a message.
Details captured
Name, number, reason and preferred timing are gathered conversationally and confirmed.
Recipient identified
The message is addressed to a person, a department or a shared queue according to your rules.
Delivered immediately
It arrives by email, message or into your CRM, with the transcript attached for context.
Where Messages Are the Right Answer
Specialist clinics
Calls for a consultant cannot be resolved by anyone else, but they can be captured properly.
Specialist clinicsRecruitment agencies
Candidates chasing a specific consultant need that consultant, not a general answer.
Recruitment agenciesDeployment Notes
Owner-operated businesses usually route every message to one mobile, described under small business deployments.
Larger teams route by recipient and track whether messages were actioned, an arrangement covered under growing SME deployments and in the feature library.
Message Questions
Does it replace voicemail entirely?
In most deployments yes. Callers who insist on leaving a recording can still be offered one if you want that option retained.
Will it verify the phone number?
It repeats the number back for confirmation, which materially reduces failed callbacks.
Can messages be marked urgent?
Yes, based on what the caller describes and your definitions. Urgent messages can also trigger an alert.
Where do messages go?
To whichever combination of email, messaging and CRM you configure. A shared destination is usually safer than an individual one.
Can we see if a message was actioned?
Where messages land in a system that tracks status, yes. That visibility is worth having for anything time-sensitive.
