About the company
Call Automation Built for How Singapore Businesses Actually Operate
AI Receptionist Singapore designs, builds and maintains AI call answering systems for local businesses. We are an implementation team, not a software shop selling logins — every deployment is scoped around the calls a specific business receives.
What We Do
We build AI receptionists that answer inbound calls for Singapore businesses, qualify the enquiry, complete the action the caller wanted and hand the outcome to the right system. The technology is only half the work. The other half is understanding what your customers ring about, what your staff currently do with those calls, and where the process breaks.
That means every project starts with your call patterns rather than a template. We listen to how enquiries arrive, identify the ones that follow a repeatable pattern, and automate those first. Conversations that need judgement stay with your people, with clear rules about when and how they are handed over.
Our clients are typically businesses where a missed call is a lost job: clinics, professional firms, property agencies, service contractors and hospitality operators across Singapore. The common thread is high inbound volume handled by people who are also doing something else.
How We Work
Scope the calls
We review the enquiry types you receive, when they arrive and what a good outcome looks like for each one. Nothing is configured before this is agreed.
Write the call flows
Each flow is written as a conversation: what is asked, in what order, what is never said, and which conditions trigger a handover to a person.
Connect the systems
Calendars, CRMs and messaging channels are connected and tested with real records so bookings and lead data land where your team works.
Review and refine
Transcripts are reviewed after launch. Gaps in the knowledge base and awkward turns in the conversation are corrected, not ignored.
What We Believe About Call Automation
Automation should be visible
Callers are told they are speaking to an automated receptionist. Pretending otherwise damages trust and produces worse conversations, not better ones.
Escalation is a feature
A system that admits it cannot help and passes the caller to a person is more valuable than one that improvises an answer to complete the call.
Scope beats sophistication
A narrow flow that handles eight enquiry types reliably outperforms a broad one that handles forty inconsistently. We start narrow and widen deliberately.
Data belongs in your systems
Call outcomes are only useful if they reach the CRM, calendar or inbox your team already uses. Reporting inside a separate dashboard is not enough.
Claims require evidence
We do not publish invented testimonials, borrowed case studies or figures we cannot substantiate. Where a claim matters to your decision, we put it in the proposal.
Local context matters
Singapore callers switch languages mid-sentence, expect WhatsApp confirmations and reference local landmarks. Flows are written with that in mind.
Who We Work With
We work across sectors, but the requirements differ sharply. A clinic needs triage rules and appointment logic. A law firm needs careful intake that never edges into advice. A property agency needs qualification and instant handover while the buyer is still interested.
Healthcare
Clinics and practices where appointment volume, first-visit questions and urgency triage dominate the phone line.
Medical clinicsProfessional services
Firms where intake quality matters more than intake speed, and where the wrong answer creates real risk.
AccountantsService businesses
Operators whose staff are on site rather than at a desk, and whose enquiries arrive while nobody can answer.

Common Questions About Working With Us
Are you a reseller or do you build the systems yourselves?
We configure, build and maintain the deployments we sell. Call flows, knowledge bases, escalation rules and integrations are our work, and we remain responsible for them after launch.
Do we need technical staff on our side?
No. You need someone who knows how your enquiries are handled today and who can approve what the system is allowed to say. We handle the configuration and the connections.
What happens after the system goes live?
Transcripts are reviewed, gaps are identified and flows are adjusted. Call automation is not a one-time install — customer questions change, and the knowledge base has to change with them.
Can you work with our existing phone provider?
In most cases yes. We confirm compatibility with your current numbering and provider during scoping rather than assuming it, because the arrangement affects how calls are forwarded.
Do you make claims about data residency or regulatory compliance?
Not casually. Where data handling matters to your sector, we document exactly which components are involved and what can be evidenced, so your own compliance review has something concrete to assess.
Start With One Call Flow
Pick the enquiry that costs you the most when it is missed. We will show you how it would be handled end to end, and what it would take to deploy.
