Common Questions
Can an AI Receptionist Handle My Industry?
Industry matters less than the shape of your calls. A dental practice and a plumbing firm look nothing alike and take almost identical phone calls — while two clinics down the same corridor can be completely different propositions.
The wrong question, and the right one
Owners usually ask whether we work with their sector. It is a reasonable question and a poor predictor. What actually determines fit is what happens on a typical call.
A dentist and a plumber both take calls that go: something is wrong, when can you see me, how much roughly, where are you. Different trades, one call shape. Meanwhile a specialist clinic taking referrals and a walk-in clinic taking appointments are in the same industry and need entirely different handling.
So the useful question is not whether it handles your industry. It is whether it handles your four or five most common calls.
Four questions that predict fit
| Question | Good fit | Harder |
|---|---|---|
| What does a typical call end in? | A booking, an answer, a captured enquiry or a transfer | A negotiation, a diagnosis or a judgement call |
| How repeatable are the questions? | The same twenty questions most weeks | Every call genuinely different |
| Is the information stable? | Services, hours and policies change occasionally | Pricing and availability change hourly |
| What is the cost of getting it wrong? | An inconvenience, correctable next working day | Clinical, legal or safety consequences |
Two or more answers in the right-hand column does not mean automation is unusable. It means the scope should be narrower — answering, capturing and routing rather than resolving.
Three call shapes
Most businesses recognise themselves in one of these, whatever the sector.
Appointment-led
Clinics, salons, studios, workshops, tuition centres. Calls are booking, rescheduling and cancelling against real availability. The strongest fit there is.
Enquiry-led
Trades, professional firms, agencies. Calls are new enquiries needing qualification and a callback. Fit is strong for capture, weaker for closing.
Service-led
Property, logistics, support desks. Calls are status checks and problems from existing customers. Fit depends entirely on what systems can be connected.
Sector-specific detail — Singapore filing seasons for accountants, block and unit access for home services, referral handling for specialist clinics — sits on the individual pages in the industries section.
Where the answer is no, or not yet
Some work is a poor fit, and saying so is more useful than pretending otherwise.
- Anything where the call itself is the professional service being sold
- Crisis, safeguarding and support lines, where every call needs a person
- Businesses whose availability or pricing changes faster than any system can be told
- Very low volume, where a colleague picking up costs you nothing
- Work where callers are almost entirely speaking dialect, which remains weak across all automated systems
Regardless of industry, some calls always reach a person. Matters involving a child, clinical questions, security incidents, allergen queries, callers in distress, grievances and requests for regulated legal, medical, financial or immigration advice. These are fixed and not configurable, which is itself part of the answer for regulated sectors.
The fuller version of this argument is in when not to automate calls.
Frequently asked questions
Our industry is not listed. Does that mean no?
No. The industry pages cover common sectors rather than every one. Judge by call shape using the four questions above.
Do you have experience in our sector?
Ask us directly and we will answer plainly rather than implying more than we have. We do not publish client names or case studies we cannot evidence.
Our terminology is specialised. Is that a problem?
Usually not. Vocabulary specific to your trade is part of the configuration, and unusual terms are worth testing during setup.
We are regulated. Can we use this?
Often, with a narrower scope: answering, capturing and routing rather than advising. Requests for regulated advice always reach a person.
Can it check our systems during a call?
Where an integration exists, yes. See order and status lookups and CRM integration.
How do we find out for certain?
Bring your five most common calls, including the awkward one. That answers it faster than any industry list.
