Integration
CRM Integration
A call that does not reach your CRM did not really happen. CRM integration writes the contact, the enquiry detail and the call summary into the system your team already opens each morning.
What gets written
- Contact record, created or matched to an existing one
- Enquiry type, service interest and qualifying answers
- Call summary and full transcript
- Source and campaign attribution
- Next action, owner and follow-up date
Structured Records, Not Notes
Most businesses already lose enquiries after the call rather than during it. Details are written on a pad, typed into an email, or remembered by someone who then goes on leave. The enquiry existed; the follow-up never happened.
CRM integration removes that gap by writing every call into your system in a consistent structure. Existing contacts are matched rather than duplicated, and new ones are created with the fields your sales process actually uses.
The mapping is defined during scoping. We use your existing fields, pipeline stages and ownership rules rather than imposing a new structure on top of the one your team knows.
What It Delivers
Follow-up stops depending on memory
Every enquiry has an owner and a next action recorded at the moment the call ends.
Existing clients are recognised
Known callers skip the qualification questions and reach the person who already handles them.
Attribution becomes possible
Calls are logged against source and campaign, so you can see what marketing spend actually produced.
Reporting reflects reality
Phone enquiries appear in the same pipeline as web leads instead of being invisible.
How the Connection Works
Fields mapped
We agree which CRM fields receive which pieces of call data, using your existing structure.
Matching rules set
Number, email or reference decides whether a caller is an existing contact, so duplicates are not created.
Records written live
The contact, activity and any resulting task are created as the call ends rather than in a nightly batch.
Tested with real data
Before launch we run test calls and check what appears in your CRM, then adjust the mapping.
Where CRM Write-Back Matters Most
Aesthetic clinics
Campaign spend is significant, so knowing which enquiries became consultations changes the marketing decision.

Lead allocation rules only work if every enquiry is recorded against the right adviser.

Model interest and trade-in details need to sit in the pipeline, not on a note at the reception desk.

Smaller teams often connect a single pipeline with a handful of fields, which is quick to configure. That approach is described under growing SME deployments.
Larger organisations need ownership rules, permissions and territory logic reflected in the write-back, covered under enterprise deployments. Other connection types are listed across the feature library.
CRM Questions
Which CRMs can be connected?
Most mainstream platforms with a documented API. We confirm your specific system during scoping rather than listing names we have not tested against your configuration.
Will it create duplicate contacts?
Not where matching rules are configured properly. Deduplication logic is agreed before launch and tested with your real data.
Can it update existing records?
Yes, within the permissions you grant. Many businesses prefer append-only activity logging rather than overwriting fields.
What if our CRM has no API?
An automation layer or a structured email or spreadsheet delivery can be used instead. It is less elegant but still removes the manual re-entry.
Who can see the transcripts?
Access follows your CRM permissions. Retention and visibility are agreed during implementation rather than left to default settings.
