SMS and Email Notifications

Not every customer uses WhatsApp, and not every notification is for a customer. SMS and email cover confirmations for everyone else, and internal alerts for your team.

Two audiences

  • Customers: confirmations, reminders and details
  • Your team: new enquiry alerts and escalation notices
  • Managers: daily or weekly call summaries
  • Shared inboxes: full transcripts for the record
  • On-call staff: urgent notifications outside hours

Choosing the Right Channel

SMS reaches every mobile phone without an app, an account or an opt-in flow, which makes it the most dependable channel for a short confirmation. Its limitation is that it is plain text and easy to ignore once read.

Email carries detail: attachments, forms, price lists and full transcripts. It is the right channel for anything a customer needs to keep, and for internal records. It is the wrong channel for a reminder that matters in the next two hours.

Most deployments use a combination, with each notification assigned to the channel that suits its purpose rather than defaulting everything to one.

What It Delivers

Nobody is left out

Customers who do not use messaging apps still receive their confirmation.

Your team knows immediately

A qualified lead or an escalation produces an alert rather than sitting unnoticed in a dashboard.

Records are retained

Transcripts and summaries arrive in a shared mailbox where they can be searched later.

Managers see the pattern

Scheduled summaries show call volume and enquiry types without anyone opening a report.

How Notifications Are Configured

Events listed

We identify which call outcomes deserve a notification and who needs to know about each one.

Channel assigned

Each notification is given the channel that fits its urgency and content.

Content written

Message wording is drafted with you, so customer-facing text reflects your tone rather than a template.

Volume tuned

After launch we reduce anything that becomes noise, because ignored alerts are worse than none.

Where Notifications Carry the Load

Property management

Maintenance reports must reach the duty contact and the record simultaneously.

Preschools and childcare

Absence notifications need to reach the teaching team before the register is taken.

Pest control

Urgent jobs alert the technician while routine bookings simply appear in the schedule.

Deployment Notes

Owner-operated businesses often want every enquiry alerted to one mobile, described under small business deployments.

Larger teams route notifications by role and suppress the rest, an approach covered under high call volume deployments and alongside the other channels in the feature library.

Notification Questions

Is SMS or WhatsApp better for reminders?

WhatsApp generally gets read faster in Singapore, but SMS reaches everyone. Many businesses use WhatsApp first with SMS as a fallback.

Are SMS charges included?

Messaging costs depend on volume and are set out separately in your quotation rather than buried in a subscription line.

Can we control who gets alerted?

Yes, by role, by call type and by time of day. Alert fatigue is a real problem and the configuration is designed to avoid it.

Do transcripts go out by email?

They can, to a shared mailbox or to individual owners. Retention and access are agreed during implementation.

Can customers reply to an SMS?

Replies can be routed to your team where your number supports two-way messaging. This is confirmed during setup.
