Integration
Calendar Integration
Offering a slot that is not actually free is worse than offering nothing. Calendar integration reads your live diary before anything is proposed and writes the confirmed booking straight back into it.
What the diary check accounts for
- Existing appointments and blocked periods
- Working patterns, breaks and leave
- Individual staff calendars, not just a shared one
- Buffer and travel time between commitments
- Time zone, for callers outside Singapore
Reading Before Writing
Calendar integration is a two-way connection. The read side determines what the system is allowed to offer; the write side records what the caller agreed to. Both matter, and the read side matters more.
Businesses often assume availability is simple until they list the exceptions: one clinician works Tuesdays only, the treatment room is shared, Fridays finish early, and nobody books over lunch. Those rules are configured explicitly so the diary the caller hears matches the one your team lives with.
Where a live read is not possible, the flow captures a booking request rather than confirming a time. Being honest about that is the difference between a helpful system and a scheduling problem.
What It Delivers
No double bookings
Slots are checked at the moment they are offered, not against a copy that was accurate an hour ago.
Real availability, honestly stated
Callers are told when the next opening genuinely is, which sets expectations correctly from the start.
No re-entry for your team
Confirmed bookings appear in the diary immediately, with the caller’s details attached.
Changes stay synchronised
Reschedules and cancellations update the same calendar rather than creating a parallel record.
How It Is Connected
Calendars identified
We establish which diaries matter: individuals, rooms, equipment or a combination of all three.
Rules encoded
Working hours, buffers, blackout periods and service durations are configured from how you actually operate.
Access granted
A connection is authorised with the minimum permissions needed to read availability and create events.
Tested end to end
Test bookings are placed and verified in the real calendar before the flow goes live.
Where the Diary Is Complicated
Specialist clinics
Consulting sessions must never collide with operating commitments elsewhere.
Specialist clinicsMusic schools
Each teacher has an individual timetable, and a trial must fit one of them specifically.
Music schoolsEvent venues
Date availability is the first question every caller asks, and it must be answered accurately.
Event venuesDeployment Notes
A single practitioner usually needs one calendar and one duration set, described under small business deployments.
Multi-site operators maintain location-specific availability under shared service definitions, covered in multi-location deployments. Booking behaviour itself is described in the feature library.
Calendar Questions
Which calendars are supported?
Mainstream business calendars connect directly. Industry booking platforms depend on their API, which we verify during scoping.
Can it read several calendars at once?
Yes. Staff, rooms and equipment can all be checked before a slot is offered, which is what prevents most scheduling conflicts.
What permissions does it need?
The minimum required to read availability and create events. Broader access is not requested, and the scope is documented.
How are cancellations handled?
The same connection updates or removes the event, so the diary does not drift out of step with reality.
What if our team blocks time inconsistently?
That surfaces quickly during testing. Usually a small change in how blocks are recorded makes the integration considerably more reliable.
Check It Against Your Real Diary
Connect a test calendar with your genuine working patterns. We will place a call and see whether the slot offered is one you would have accepted.
