Emergency Escalation

The most important thing an automated system does is recognise when it should stop. Emergency escalation identifies the calls that need a person and moves them there immediately, using rules your business wrote.

How escalation is defined

  • Your list of situations that must reach a person
  • Who receives them, at which hours
  • What happens if that person does not answer
  • Any wording the caller must be given immediately
  • How the escalation is logged and reviewed

Set the Threshold Low

Escalation design involves one asymmetry that governs everything else. An unnecessary escalation costs a minute of someone’s time. A missed one can cost far more, and in some sectors it can cause real harm.

So we build escalation conservatively. Where the flow is uncertain whether a situation qualifies, it escalates. Where a caller sounds distressed, it offers a person regardless of the subject. Where the definition is ambiguous, we resolve the ambiguity in favour of handing over.

The definitions themselves are always yours. Clinicians write clinical escalations, operations managers write operational ones, and we implement them rather than inventing a generic list.

What It Delivers

Urgent callers bypass everything

No queue, no further questions, no attempt to resolve something the system should not touch.

Handovers do not fail silently

If the first contact does not answer, the next rule applies immediately rather than the call ending.

Instructions are exact

Where a caller must be told something specific, they are told it word for word as your business wrote it.

Every escalation is reviewable

Logs show what triggered each one, which is how the rules get better over time.

How Escalation Is Built

Definitions written

Your qualified staff list the situations that require a person, in their own words.

Destinations mapped

Each situation is matched to a contact, a rota and a fallback, by time of day.

Wording agreed

Anything the caller must be told, including advice to contact emergency services directly, is fixed text.

Tested before launch

We deliberately trigger every escalation path and confirm it reaches a real person.

Where Escalation Is the Whole Design

Veterinary clinics

Distress in an owner’s voice is itself treated as a reason to hand over immediately.

Security services

Incident reports never enter a queue and are never processed by the system.

Property management

Water, electrical and safety matters bypass everything and reach the duty contractor.

Deployment Notes

A single business usually has one out-of-hours contact and one fallback, described under small business deployments.

Larger organisations run tiered escalation with rota awareness and audit trails, covered under enterprise deployments and alongside the rest of the feature library.

Escalation Questions

Who decides what counts as an emergency?

You do, and specifically the people qualified to make that judgement in your business. We implement it exactly.

What if nobody answers the escalation?

The fallback chain applies immediately, ending in a defined action rather than a dropped call.

Can it tell someone to call emergency services?

It can deliver the exact wording you have written for that situation. It does not compose its own advice.

How do you avoid over-escalating?

By reviewing the logs monthly and tightening definitions gradually. We start conservative and refine downward, never the other way.

Is escalation tested?

Every path, before launch, and again after any change to the rules. It is the one part we never assume works.
